Getting started with Claire’s Inbox

Claire’s Inbox helps you automatically bring inspection data into the Artion platform and verify it before it is permanently stored.

In this guide, you will learn:

  • How to get data into Claire’s Inbox

  • How to review and confirm items

  • How to manage your inbox efficiently

Adding data to Claire’s Inbox

If your inspections are carried out by one of our partners, we guarantee that the inspection data will automatically appear in your platform.

If you work with other inspection bodies or partners, you can still easily ensure that planning confirmations and certificates are included in Artion.

There are three ways to add data.

Option 1 – Manual entry (outside Claire’s Inbox)

You can manually add inspection data to the correct inspection in the platform.

This gives you full control but requires more time.

Read more in this article: How do I manually manage an inspection in Artion?

Option 2 – Drag and drop reports into the platform

You can upload certificates by dragging them into the upload zone in Artion.

Claire will:

  • Read the certificate

  • Extract the relevant data

  • Create a new item in Claire’s Inbox

  • Suggest the correct site, asset and inspection

You only need to review and confirm.

Option 3 – Send emails to Claire

You can forward emails or cc claire@artion.eu on:

  • Inspection date confirmations

  • Certificates (as attachments)

Claire will:

  • Read the email and attachments

  • Process the information

  • Create an item in Claire’s Inbox

  • Inform you that the email has been successfully received

If essential information is missing (for example site details or a supported attachment), Claire will notify you and explain what needs to be adjusted.

If the email is not related to planning or certificates, Claire will also inform you.

Reviewing items in Claire’s Inbox

Every uploaded file or processed email creates one item in Claire’s Inbox.

Each item contains:

  • The original email and/or uploaded file

  • A summary of Claire’s findings

  • Suggested data links

What does Claire suggest?

Depending on the type of item, Claire may suggest:

  • Site

  • Asset

  • Inspection

  • Inspection date

  • Score (for reports)

  • Confirmed inspection date (for planning confirmations)

Claire pre-fills these values based on the information in the email or report.

How do you verify the data?

In the extended view, you can:

  • Compare the original document with Claire’s suggestions

  • Easily review values

  • Confirm or adjust the proposed links

Is everything correct?

→ Confirm and save.

Does something need to be changed?

→ Edit the proposed values before confirming.

You can also:

  • Add additional assets

  • Create a new asset if it was identified during the inspection

(Currently, creating a new asset is done manually. In a future version, Claire will also suggest new assets.)

Is an item not relevant?

→ You can simply ignore it.

Managing Claire’s Inbox

To keep an overview, you can use filters.

Filter by type

Items are categorised as:

  • Inspection date confirmation

  • New inspection certificate

  • New uploaded inspection certificate

  • Unknown

Filter by status

Each item has a status:

  • New – awaiting your review

  • Approved – saved in the platform

  • Ignored – not further processed

With these filters, you can quickly:

  • View only new items

  • Consult already processed items

  • Retrieve ignored items

What does the future hold?

Claire’s Inbox is continuously being developed. In the future, additional notifications, recommendations and automations will be added.

Today, Claire’s Inbox ensures that:

  • Inspection data is brought into your platform

  • The link to site, asset and inspection is largely automated

  • You retain control through a final verification step
