How can I use Facility Management?
The ‘Facility Management’ tab in Artion provides a central place to manage assets and activities that are not part of standard inspections. In this article, we explain how to use this tab — from adding assets and activities to managing documents, notes, and reminders.
Features in Facility Management
Add assets or activities
- Go to the ‘Facility Management’ tab on the left-hand side of the dashboard.
- Click ‘+ New’ in the top right corner.
- Fill in the following details:
- Name or description of the asset or activity.
- Any additional information. - Click Save. The asset or activity will now appear in the Facility Management overview.
Edit assets or activities
- Click on the asset or activity in the overview.
- Use the ‘Edit’ button to adjust details such as name, description, or additional information.
Tabs within an asset or activity
Details
Contains the description of the asset or activity.
Here you can set the status: Green (OK), Orange (remarks), or Red (rejected). The status will be visible in the overview.
Documents
Add documents by clicking ‘+ Document’.
All relevant documents for the asset or activity are stored here.
Notes
Add a note via ‘+ New note’.
Notes are ideal for exchanging information with colleagues.
You can click directly in the text box to edit existing notes.
Reminders
Add a reminder via ‘+ Reminder’.
Reminder settings include:
- Name: Title of the reminder.
- Email addresses: Who will receive the reminder?
- Start date: When the reminder begins.
- Frequency: How often the reminder is sent.
- Time limit: How many weeks the person responsible has to complete the action.
Once saved, the reminder appears in the overview for that specific asset or activity.
Overview of reminders
General reminders
The ‘Reminders’ tab within Facility Management shows a complete overview of:
- All reminders.
- Outstanding reminders that still need to be completed.
Managing reminders
Click on a reminder to mark it as completed, modify, or delete it.
A reminder will be highlighted in green once it has been marked as completed.
